1 - Business, finance and administration occupations

This broad category comprises specialized middle management occupations in administrative services, financial and business services and communication (except broadcasting), as well as professional occupations in finance and business; administrative and financial supervisors and specialized administrative occupations; administrative occupations and transportation logistics occupations; and administrative and financial support and supply chain logistics occupations.

13 - Administrative occupations and transportation logistics occupations

This major group comprises administrative occupations, transportation and production logistics coordinators and customs brokers, and related broker occupations. These occupations come with Training, Education, Experience and Responsibility (TEER) identified as TEER 3. Occupations classified in TEER 3, as those included in this group with a 3 as the second digit of their code, typically require completion of a post-secondary education program of less than two years at community college, institute of technology or CÉGEP; or completion of an apprenticeship training program of less than two years; or more than six months of on-the-job training, training courses or specific work experience with some secondary school education; or the accumulation of several years of experience in a related occupation found in TEER 4, when applicable (TEER 4 includes occupations with a 4 as a second digit in their code).

131 - Administrative occupations

This sub-major group comprises administrative occupations, including administrative, property and payroll officers, as well as office administrative assistants (general, legal and medical).

1311 - Office administrative assistants - general, legal and medical

This minor group comprises office administrative assistants such as general administrative assistants, legal administrative assistants and medical administrative assistants. They are employed in law offices, legal departments of large firms, real estate companies, land title offices, and municipal, provincial and federal courts; doctor's offices, hospitals, medical clinics and other medical settings; and throughout the public and private sectors.

13110 - Administrative assistants

Administrative assistants perform a variety of administrative duties in support of managerial and professional employers. They are employed throughout the public and private sectors.

    • Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with other departments and organizations
    • Schedule and confirm appointments and meetings of employer
    • Order office supplies and maintain inventory
    • Answer telephone and electronic enquiries and relay telephone calls and messages
    • Set up and maintain manual and computerized information filing systems
    • Determine and establish office procedures
    • Greet visitors, ascertain nature of business and direct visitors to employer or appropriate person
    • Record and prepare minutes of meetings
    • Arrange travel schedules and make reservations
    • May compile data, statistics and other information to support research activities
    • May supervise and train office staff in procedures and in use of current software
    • May organize conferences.
  • Employment requirements

    • Completion of secondary school is usually required.
    • Completion of a one- or two-year college or other program for administrative assistants or secretaries

13111 - Legal administrative assistants

Legal administrative assistants perform a variety of secretarial and administrative duties in law offices, legal departments of large firms, real estate companies, land title offices, municipal, provincial and federal courts and government.

    • Schedule appointments, meetings and conferences for employer
    • Set up and maintain filing systems, utilizing knowledge of legal records and procedures and frequently controlling confidential materials and documents
    • Open and distribute regular and electronic incoming mail and other material and coordinate the flow of information internally and with other departments or organizations
    • Determine and establish office procedures and routines
    • May supervise and train other staff in procedures and in the use of current software
    • May attend court, meetings or conferences to take notes, minutes and dictation
    • May perform other general office work as required including preparing financial statements.

13112 - Medical administrative assistants

    • Prepare draft agendas for meetings and take, transcribe and distribute minutes
    • Prepare financial statements and billing
    • Establish and maintain various internal office administrative support procedures such as document tracking and filing and monthly reporting
